Case study - Schools
Client:
Private education group comprising of twenty independent schools and colleges across the UK.
Objective:
To review the copying and printing habits within the group, saving money by rationalising and standardising the devices on a single, managed contract.
The Story:
The schools and colleges within the group have developed a longstanding reputation for delivering premium quality education. Each school and college retains is own identity, with the Heads and Principals afforded significant management authority, but with the benefits of financial security, camaraderie and opportunities for sharing best practice by belonging to one of the country's leading educational groups.
Already an existing supplier to one of the schools in the group, Morgan Brookes plc met with the Operations Director to discuss developing the business relationship further. The Morgan Brookes Account Manager offered to visit other schools within the group to collect information and conduct and print audits.
Site surveys were conducted and a full review of copying, printing and faxing was produced and presented to the main board. Previous suppliers had always recommended the biggest and most powerful machines for copying and print rooms which meant that expensive machines were installed on long term lease agreements.
Morgan Brookes’ proposition achieved the following objectives:
Machines which were viable for upgrade would be upgraded with new Digital Copier/Printers strategically placed throughout the schools.
Machines which could be upgraded in the medium term would be brought into the Morgan Brookes service contract to ensure Preventative rather than Emergency service cover – reducing machine down-time in problem areas.
Replacement of all machines with a standard engine type (but varying speeds and volume capabilities depending on their environment) and standard printer drivers.
Use of ‘tandem’ print and copy to link two mid-high volume devices together when maximum productivity is required, leaving the two devices to work independently the remainder of the time.
Use of Email alerts and Printer Administration Utilities to allow remote management by Morgan Brookes service centre of devices across all sites.
To date Morgan Brookes, have taken over the copy and print resource for thirteen of the twenty sites and have projects in place for the remaining sites to be upgraded as part of an ongoing technology refresh.
